Enroll students in online/asynchronous trainings

Each student can be enrolled individually in one or more trainings. In addition, it is possible to enroll several students in several trainings en masse.

Instructions

To enroll a student in one or more trainings, follow the steps below:

  1. Click on Students in the main menu

  2. Click on the To List submenu

  3. Search for the student in the search bars by name, CPF, code or e-mail (we recommend that the search be by registered e-mail)

  4. Click on Search

  5. Locate the student in the list, click on the Select option and click on the Training Enrollments option

On the next screen, it will be possible to view the list of trainings in which the student is enrolled. In Status, it is possible to verify if the training has not started, is in progress or if the student has passed or failed.

  1. Click on the Enroll button located in the upper right corner

  2. In the Validity field, enter the maximum time the student will have to complete the training(s)

  3. In the Profile field, select the student's profile for enrollment

  4. In the Company field, select the company associated with the student

When you select a Profile and/or a Company, the system will only display trainings that are compatible with the link entered, making it easier to find and select the appropriate training.

  1. In the Training field, select the training(s) in which the student will be enrolled

  2. Check the Send email box if you want the student to be notified of the enrollment by the registered e-mail

  3. Click Save to register the student enrollment

If any chosen training is not part of the registered Student Profile, the platform will automatically not allow enrollment. In this case, you will need to change the student profile.


To enroll several students in one or more trainings, follow the steps below:

Option 1: bulk actions

This action requires your attention!

When using bulk actions, the selected students will be enrolled in all trainings, regardless of compatibility between their profiles.

  1. Click on Students in the main menu

  2. Click on the To List submenu

  3. Find the desired company

  4. Click the Select option

  5. Click the View the Students option

  6. Select all students you wish to enroll in the trainings

  7. Click the Bulk actions button

  8. Click the Enroll in training option

  9. In the Training(s) field, select the desired trainings

  10. In the Validity field, select the expiration date for the training enrollments

If there is no expiration date, leave the field blank. In this case, the default expiration will be used, based on the days configured in the Default Enrollment Validity Days field in the training record.

  1. In the Send email field, check the box to send students a notification of their enrollment in the trainings, or leave the box unchecked to prevent the email from being sent

  2. Click the Enroll button

Option 2: import via spreadsheet
  1. Click on Students from the main menu

  2. Click on the To List submenu

  3. Click the List All Students Enrollments button icon located in the upper right corner (first icon)

  4. Click the Import Training Enrollment button icon located in the upper right corner (first icon)

  5. Click on the Download CSV template button to download the template spreadsheet

  6. Open the downloaded file

  7. Fill in the columns with the information, as instructed below:

student_id (mandatory)

Enter the ID of the student.

To check the student ID, follow the steps below:

  1. Click on Students in the main menu

  2. Click on the To List submenu

  3. Search for the desired student in the search bar

The student ID is the number displayed in the ID column.

student_code

Enter the student's internal code, if desired.

training_id (mandatory)

Enter the ID(s) of the training(s) you wish to enroll the student in.

To check the training ID, follow the steps below:

  1. Click on Trainings in the main menu

  2. Click on the Online/Asynchronous submenu

  3. Search for the desired training in the search bar

The training ID is the number displayed in the ID column.

If the student needs to be enrolled in two or more trainings, separate the numbers by commas only. For example: 1,3,5,9.

training_code

Enter the internal training code, if desired.

enrollment_validity

Enter the day, month, and year of the training enrollment validity, if desired, in the following format:

00/00/0000

send_email

Enter the email sending number (1 or 0), if desired, where:

  • 1 to send email to the student that the enrollment has been completed, upon completion of enrollment

  • 0 to enroll the student but not email them that the enrollment has been completed

When importing student enrollments via the worksheet, students will be enrolled in the indicated trainings even if the student's profile and the profile registered for the training are different.

  1. Save the spreadsheet on your computer

  2. Return to the platform

  3. Click on the Import CSV button

  4. Locate and select the file

  5. Link the spreadsheet columns to the corresponding fields on the platform if the names or order are different

Example

If the student code column in your spreadsheet is named Code, link this column to the student_code field.

  1. Select which columns should be included in the registration

  2. Click Submit on the platform to perform the import

On the next screen, you will be able to view the report of students enrolled through the spreadsheet import.

If the enrollment was successfully completed, an ID will be generated for each enrollment.

If there was an error with the enrollment, the report will indicate the error and the reason for the error.


To delete enrollment, follow the steps below:

Option 1: individually

Exclusion will also eliminate all of the student’s progress in the training.

  1. Click on Students in the main menu

  2. Click on the To List submenu

  3. Locate the desired company

  4. Click the Select option

  5. Click the View the Students option

  6. Locate the student in the list

  7. Click the Select option

  8. Click the Training Enrollments option in the list

  9. Select the desired trainings

  10. Click the Delete button

Option 2: bulk actions

Only training enrollments that are active and unstarted (with no record of progress) will be deleted for the selected students. The rest will be retained.

  1. Click on Students in the main menu

  2. Click on the To List submenu

  3. Locate the desired company

  4. Click on the Select option

  5. Click on the View the Students option

  6. Select all desired students

  7. Click on the Bulk actions button

  8. Click on the Delete training enrollments option

  9. Click on the Delete button
